Our comprehensive nearshore solutions encompass staffing, payroll, equipment provision, benefits, training, and compliance, ensuring a smooth service to our clients.

We are currently looking for an Executive Assistant who will be responsible for setting appointments via email, helping coordinate the schedule, track and remind about meetings about to start. The EA will also do light social media coordination, i.e. posting social media and light video editing (can train if needed), and reaching out to podcasters seeking podcast opportunities (database is provided, the EA will email and follow up). Finally, the EA will provide administrative support: filing files from email to box.net, updating and coordinating on Monday.com.

Job functions

  • Provide comprehensive administrative support to executives, including calendar management, email correspondence, and travel arrangements.
  • Coordinate and schedule meetings, ensuring all participants are well-prepared and informed.
  • Prepare and review documents, presentations, and reports to facilitate clear communication.
  • Handle confidential information with the utmost discretion and professionalism.
  • Manage and prioritize tasks to ensure deadlines are met and deliverables are accomplished seamlessly.
  • Assist in project management by tracking progress, following up on action items, and maintaining documentation.
  • Act as a liaison between executives, internal teams, and external partners, fostering effective communication.
  • Social Media Management and light video editing (Linkedin-Youtube-Instagram)

Qualifications and requirements

  • Exceptional organizational skills and the ability to multitask and manage priorities effectively.
  • Strong written and verbal communication skills, with an eye for detail and accuracy.
  • Minimum of 3 years of experience in an executive assistant or related role, showcasing your ability to support high-level professionals.
  • Excellent English level both written and spoken
  • Proficiency in office software and tools such as Microsoft Office, Google Workspace, and virtual communication platforms.
  • Demonstrated ability to maintain professionalism and confidentiality in sensitive situations.
  • Adaptability to remote work and the ability to stay motivated and productive independently.
  • Resourcefulness and problem-solving skills to address challenges and find solutions proactively.
  • Experience with box.net & Monday.com is a plus
  • Positive attitude and a collaborative mindset to contribute to a cohesive team environment.
